Employer Information

In order to accurately calculate and manage payroll, Salsa needs certain employer information. In this section, we discuss the most commonly required items.

An Employer represents the legal entity employing and paying Workers.

Employers must register with tax agencies, authorize payroll providers to file and pay taxes on their behalf, and are subject to strict KYB regulatory requirements.

Employer name

The employer name is the legal name of the employer as it appears on official documents and filings. This name is used to identify the employer when filing taxes and should match the name on file with the IRS exactly.

Work location

The work location is the physical address where workers are expected to perform their duties, and is used to accurately calculate and file taxes. It is not uncommon for an employer to have multiple work locations listed as needed.

Mailing address

The mailing address is required as it is required to be shown on the worker payment record documents, as per certain state's legislation.

This address can be the same as an existing work location, filing address, or a separate address depending on the situation of the employer.

Filing address

Also know as the legal address, this is your primary place of business and should match the address on file with the IRS as the company’s physical location. Salsa will use this address is when filing taxes on behalf of the Employer and thus it should match official documents exactly.

Bank account information

Employers must provide their bank account information in order to facilitate payroll payments. This includes the account name, routing number, and account number. Employers must also ensure that their bank account is valid and active in order to ensure successful payment processing.

IRS Federal EIN

Commonly known as an FEIN (federal employer identification number), the federal EIN is a 9 digit ID assigned by the IRS and allows Salsa to accurately file and pay federal taxes. This should match official documents exactly.

State EIN

Also known as a state account ID, the state EIN is assigned by the corresponding state agency and allows Salsa to accurately file and pay state taxes, and should match official documents exactly. EIN formatting varies by tax agency and can commonly be found on any direct mail from the agency itself.

Deposit frequency

Also known as a deposit schedule, the deposit frequency is assigned by the corresponding state tax agency and determines the rate at which tax payments are due. Common deposit schedules include semiweekly, monthly, quarterly, and annual.

Tax rate

The tax rate is assigned by the corresponding tax agency, and determines the percentage of taxes that an employer is required to pay on behalf of their workers.
